Most founders use ChatGPT like a search engine. They type a vague question, get a vague answer, and decide it's "not that useful." The problem isn't the tool. It's the input.
ChatGPT — and AI assistants like it — produce outputs proportional to the quality of what you give them. Garbage in, garbage out. Structure in, structured business output that actually saves you time.
Here are 10 prompts you can copy, adjust for your business, and use today. No theory. No vague instructions. Just the prompts.
Before you use these prompts
Replace every word in [brackets] with your actual business details. The more specific you are, the better the output. Always treat ChatGPT's first draft as version 0.6 — edit it into your voice before sending anything to a client.
The 10 Prompts
Prompt 01
1 Write a Business Proposal
Write a professional business proposal for [your business name], a [type of business] based in [city/country].
The proposal is for [client name or type of client] who needs [specific service or solution].
Include:
- A short executive summary (2-3 sentences)
- The problem we are solving
- Our proposed solution and approach
- Why we are the right fit (3 bullet points)
- Investment / pricing section (use [your price or price range])
- Next steps
Tone: Professional but warm. Confident but not salesy. Keep it under 600 words.
Pro tip: After the first output, follow up with: "Make the executive summary shorter and punchier. Make the 'why us' section more specific — we have been in business for [X years] and have worked with [type of clients]."
Prompt 02
2 Write a Follow-Up Email After a Meeting
Write a follow-up email to send after a business meeting.
Context:
- I met with [client name or role]
- We discussed [2-3 key points from the meeting]
- The agreed next step is [what they said they would do / what you said you would do]
- Meeting was on [date]
Tone: Warm and professional. Remind them of the value we discussed without being pushy. Include a clear call to action at the end.
Keep it under 150 words.
Pro tip: Use this within 2 hours of every meeting. Founders who follow up fast close more deals. Let AI draft it so you never miss the window.
Prompt 03
3 Handle a Difficult Client Message
Help me respond to a difficult client message professionally.
Their message: "[paste the client's message here]"
Context:
- They are [a new / long-term] client
- The issue is [brief description of what went wrong or what they're unhappy about]
- My position: [what I can and cannot offer as a resolution]
Write a response that:
- Acknowledges their concern without admitting liability where there is none
- Is calm and professional even if their message was aggressive
- Offers a clear path forward
- Keeps the relationship intact
Keep it under 200 words.
Pro tip: Never send an emotionally charged reply to a difficult client. Always run it through ChatGPT first. It will neutralise the tone and help you stay professional.
Prompt 04
4 Write Your Business's Social Media Bio
Write 3 versions of a social media bio for my business.
Business: [your business name]
What we do: [one sentence description]
Who we serve: [describe your ideal client]
Location: [city / country — e.g. Nairobi, Kenya or Pan-African]
Tone: [Professional / Warm / Bold — pick one]
Version 1: Short (under 100 characters) — for Instagram profile
Version 2: Medium (under 200 characters) — for LinkedIn headline
Version 3: Full bio (under 300 words) — for website About page
Include a CTA at the end of the full bio.
Pro tip: Most founders write their bio once and forget it. Update it every 6 months or every time your offer changes. This prompt takes 3 minutes.
Prompt 05
5 Create 7 Days of Social Media Content
Create 7 social media captions for [LinkedIn / Instagram / Facebook] for a week.
Business: [your business name] — [one sentence about what you do]
Target audience: [who you're speaking to — e.g. "small business owners in Nairobi aged 30-50"]
This week's theme: [e.g. "client testimonials / business tips / behind the scenes / a launch announcement"]
Tone: [Professional / Conversational / Bold]
For each post:
- Day [number]: [platform-appropriate caption, 2-4 sentences]
- Include a question or CTA at the end of each
- Mix formats: 2 tips, 2 stories, 1 question, 1 promotion, 1 motivational
Do not use hashtags — I will add those manually.
Pro tip: Do this every Sunday for the coming week. Takes 15 minutes including editing. Your consistency goes from 20% to 95% immediately.
Prompt 06
6 Write a Sales Page Headline + Opening
Write 5 headline options and an opening paragraph for a sales page.
Product/service: [what you're selling]
Target customer: [who they are, their pain point]
What transformation does your offer deliver: [before state → after state]
Price point: [e.g. KES 25,000 / $200]
Tone: Direct and confident, but not hype-y
For each headline, write it in two formats:
- A problem-focused version
- A result-focused version
Then write a 100-word opening paragraph that hooks the reader and makes them feel understood before presenting the solution.
Pro tip: Use the best headline and the opening paragraph as the foundation for your WhatsApp broadcast, Instagram caption, or landing page. One prompt, multiple uses.
Prompt 07
7 Summarise a Long Document or Meeting
Summarise the following [document / meeting transcript / email thread] for me.
[Paste the content here]
Give me:
1. A 3-sentence executive summary
2. The 5 most important points
3. Any action items or decisions that were made
4. Any unresolved questions or risks
Format it clearly with headers. Keep the whole summary under 400 words.
Pro tip: Use this after every long client meeting or after reading any lengthy document. Pair with Otter.ai or Fathom for automatic meeting transcription, then paste the transcript here.
Prompt 08
8 Write a WhatsApp Broadcast Message
Write a WhatsApp broadcast message for my business contacts.
Purpose: [e.g. announce a new offer / share a tip / invite them to an event / follow up on leads]
Audience: [e.g. past clients / warm leads / subscribers]
Key message: [what I want them to know or do]
CTA: [what I want them to do — e.g. reply YES / click the link / call this number]
Tone: Friendly and direct, like a message from a trusted business contact
Keep it under 160 words. No emojis unless they feel natural. Make it feel personal, not like a broadcast.
Pro tip: WhatsApp broadcast open rates are 80–90% in Kenya and East Africa. This is your highest-converting channel. Use it intentionally — 2-3 times per month maximum.
Prompt 09
9 Prepare for a Client Sales Call
Help me prepare for a sales call.
Client background: [name/company, what they do, size if known]
What they enquired about: [your service or product they showed interest in]
Their likely objections: [e.g. price, timing, trust, not sure if they need it]
My offer: [describe what you're selling and the price]
Give me:
1. 3 discovery questions to ask in the first 5 minutes
2. A one-paragraph pitch for my offer (in conversational language)
3. How to handle each objection I listed
4. How to close the call and ask for the next step
Pro tip: Run this prompt 30 minutes before every sales call. It takes 3 minutes to generate and makes you walk into every conversation prepared instead of winging it.
Prompt 10
10 Build a 30-Day Content Plan
Build a 30-day social media content plan for my business.
Business: [your business name] — [what you do]
Target audience: [who you serve]
Goal for this month: [e.g. grow followers / generate leads / build trust / launch something]
Posting frequency: [e.g. 5x per week on Instagram and LinkedIn]
Content pillars (choose 3-4):
- [e.g. Business tips / Behind the scenes / Client wins / Personal story / Product showcase]
For each week, give me:
- Week theme
- 5 post ideas with a one-line description of each
- 1 call-to-action post per week
Format it as a table: Week | Day | Post Idea | Format (Reel/Carousel/Text)
Pro tip: Do this on the first day of every month. Takes 20 minutes. Saves 4 hours of "what should I post today" paralysis across the month.
How to Use These Prompts as a System
The founders who get the most out of ChatGPT don't use it randomly — they use it at the same points in their week, for the same types of tasks, consistently. Here's the system:
- Every morning (15 min): Draft all emails and messages for the day using Prompt 1, 2, or 3 as the starting structure.
- Every Sunday (30 min): Use Prompt 5 to batch the week's content. Schedule it in Buffer or Meta Business Suite.
- Before every sales call: Run Prompt 9. Non-negotiable.
- First of the month: Run Prompt 10 for the month's content map. Then execute weekly using Prompt 5.
- After every meeting: Run Prompt 7 on the transcript. Then Prompt 2 for the follow-up email.
One thing to remember
ChatGPT is a first-draft machine, not a final-draft machine. Always edit the output into your voice before it goes to a client or goes public. The goal is to go from 0% to 70% done in 3 minutes — the final 30% is still yours. That's the deal. Keep it.
